ScrubGrid is a clinician-scheduling service operated by Papyrus Health ("ScrubGrid," "we," "us"). It is used by surgical and clinical groups to manage their on-call and operating-room block schedules. This policy explains what information we handle and how we use it, including how a member's mobile number is used for opt-in text messages.

1. Information we handle

ScrubGrid handles scheduling and provider information only — clinician and staff names, contact details (email and, if a member opts in, a mobile number), call and OR-block assignments, time-off requests, and swap or cover records. Accounts are created by a group's administrator; we do not offer public self-registration.

No patient information. ScrubGrid does not collect, store, or transmit patient names, medical records, diagnoses, or any protected health information (PHI). It is an operational scheduling tool, not a clinical system.

2. Mobile numbers and text messages

A member's mobile number is collected only when that member opts in to ScrubGrid Schedule Alerts from their own profile, and is used solely to send the messages described in the SMS Program Terms: a one-time verification code, swap requests and cover offers for their own schedule, and confirmations of their replies. We record the opt-in (the number, when consent was given and, where numbers are verified, when) as evidence of consent, and the opt-out if the member later replies STOP or turns text alerts off. Replies to our texts are read only for the words YES / NO, a reply code, and the STOP / HELP keywords. Any other text in a reply is not used.

3. How we use information

To operate the scheduling service for a member's group: generating and publishing schedules, handling time-off, swap, and cover requests, notifying members about their own assignments, and keeping an audit trail of administrative changes. We do not use member information for advertising.

4. Sharing of information

We do not sell your information, and we do not share mobile numbers, SMS consent, or SMS opt-in data with third parties or affiliates for their marketing or promotional purposes. We share information only with the service providers that operate ScrubGrid on our behalf — our SMS delivery provider (Twilio), our sign-in provider, and our hosting provider — solely to deliver the service and only to the extent needed.

5. How we protect information

Access to ScrubGrid requires an account. Data is transmitted over encrypted connections and each group's data is kept separate from every other group's. Verification codes and reply codes are stored only as one-way hashes.

6. Retention

We retain scheduling and contact information for as long as a member's group uses the service. Opt-out records are kept so that we do not text a number that has asked us to stop.
